Privacy Policy
OrderTally helps restaurant kitchens order supplies and check what arrives against what was billed. Doing that means handling information about your business, your staff and your suppliers. This policy explains what we collect, why, and what you can do about it.
1. Who we are
OrderTally is an independent Australian software product, built and run from Melbourne, Victoria. In this policy, "we", "us" and "our" mean OrderTally.
We are a small business. We hold ourselves to the Australian Privacy Principles in the Privacy Act 1988 (Cth) as our standard for handling personal information, and this policy is written to meet them.
2. What we collect
Information you give us
- Account and venue details — your name, email address, phone number, business name, venue names and addresses, and the role each person holds.
- Supplier and catalogue data — supplier names and contact details, the products you buy, pack sizes, and the prices you have agreed.
- Orders and delivery checks — what was ordered, when, by whom, what arrived, and any discrepancies recorded.
- Invoice images — photographs or files of supplier invoices you upload, and the line-item data extracted from them.
- Budgets and spend — the limits you set and what has been spent against them.
Information collected automatically
- Technical data such as IP address, browser and device type, and log records of access to the service.
This website does not use analytics or advertising cookies. It sets no tracking cookies at all.
Payment information
When paid subscriptions begin, payments will be handled by a third-party payment processor. We do not store your card details. The processor handles them under its own security standards and privacy terms.
3. Invoice images and automated processing
Worth reading closely
When you upload a supplier invoice, the image is sent to a third-party artificial intelligence provider to read the line items and compare them with your order. That provider processes the image on our behalf under contract.
Invoices frequently contain the supplier's business details and pricing. Please do not upload documents containing information you would not want processed this way.
Automated extraction can misread an invoice. OrderTally flags what it believes to be discrepancies; it does not make decisions about you or your business on its own, and every flag is for a person to review.
4. How we use information
- To provide the service — building orders, sending them to your suppliers, checking deliveries and tracking credits.
- To send orders on your behalf via the messaging channel you choose, such as WhatsApp.
- To read and match invoices, as described above.
- To provide support, respond to enquiries and fix faults.
- To bill you, once paid subscriptions begin.
- To improve the service, including its accuracy and reliability.
- To meet legal and record-keeping obligations.
We do not sell your information, and we do not share your prices or supplier terms with other OrderTally customers.
5. Who we disclose information to
- Your suppliers — when you send an order, its contents go to the supplier you addressed it to.
- Service providers — hosting and database providers, the AI provider that reads invoices, messaging platforms used to deliver orders, and (once live) the payment processor. Each acts on our instructions.
- Professional advisers — such as accountants or lawyers, where reasonably required.
- Law enforcement or regulators — where we are required or authorised by law.
- A purchaser — if the business is sold, information may transfer as part of that sale.
6. Overseas disclosure
Some of our service providers are located outside Australia, including in the United States. This means your information may be stored or processed overseas. Where we disclose information to an overseas recipient, we take reasonable steps as required by APP 8 to ensure it is handled consistently with the Australian Privacy Principles.
7. Security
We take reasonable steps to protect information from misuse, loss, unauthorised access, modification and disclosure. These include encryption in transit, access controls, and separation of each customer's data from every other customer's.
No online service can be completely secure. If a data breach occurs that is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner in line with the Notifiable Data Breaches scheme.
8. How long we keep information
We keep your information for as long as your account is active, and afterwards only as long as needed for the purposes described here or to meet legal obligations. Australian tax and business records law generally requires certain records to be kept for five years.
You can ask us to delete your account data at any time. Some records may be retained where the law requires it.
9. Accessing and correcting your information
Under APP 12 and APP 13, you may ask for a copy of the personal information we hold about you, and ask us to correct it if it is wrong. Contact us using the details below. We will respond within a reasonable period, normally 30 days, and will tell you if we cannot meet a request and why.
10. Complaints
If you think we have mishandled your personal information, please contact us first — we would rather fix it directly. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner:
